Job Description

Job Summary: We are looking for a detail-oriented Production & Sales Coordinator to support both our sales and production teams in a fast-paced promotional products business. This role serves as a key communication hub between sales, operations, and vendors, ensuring seamless order processing, production scheduling, and customer satisfaction. The ideal candidate is highly organized, tech-savvy, and thrives in a dynamic environment. Key Responsibilities: Sales Support & Order Processing Process customer orders, ensuring accurate entry into billing and ordering software. Coordinate with suppliers and vendors to confirm pricing, availability, and lead times. Communicate with customers regarding order status, approvals, and any necessary adjustments. Production & Operations Coordination Liaise between sales and production teams to ensure timely order fulfillment. Manage production schedules, ensuring orders are processed efficiently. Track inventory levels and coordinate reorders as needed. Work with vendors to ensure accurate customization of promotional products (logos, colors, branding). Administrative & Software Management Utilize QuickBooks (preferred) and other business software to manage invoices, payments, and billing. Maintain accurate records of orders, customer details, and production timelines. Generate reports to track sales, production progress, and inventory status. Customer Service & Communication Act as a primary point of contact for customer inquiries and order-related updates. Resolve order discrepancies, production issues, or delays in a professional manner.

Job Requirements

Qualifications & Skills: Strong organizational skills with the ability to manage multiple projects at once. Excellent communication skills to liaise between sales, production, and customers. Computer proficiency in Microsoft Office (Excel, Word, Outlook); experience with QuickBooks is a plus. Ability to troubleshoot order or production issues with problem-solving skills. Previous experience in a promotional products, printing, or manufacturing environment is a plus.
